What we collect, why, how long we keep it, and how to ask us to delete it.
Vekform is a brand of Vektrion LLC, a Georgia limited liability company. This policy covers vekform.com and the quote, email and file hand offs that start there. Questions go to [email protected]. Last updated October 9, 2026.
What you send us. Your name, email address, phone number if you give it, your company, a description of the part or project, and any photos, scans, CAD files or other files you upload or email. If you mail or hand us a physical part, we keep a record of what it is and who it belongs to.
Order records. Quotes, invoices, payment status from PayPal (we never see your card number), shipping addresses, tracking numbers and the emails exchanged about the job.
Site analytics. Google Analytics, in the standard way, for aggregate traffic. Our own first party counter also runs on our server. It sets no cookies and stores no persistent identifier. Each visit is counted from a daily rotating value plus your IP address and browser type, which cannot be reversed and changes every day. Your IP address is never stored. We record pages viewed, the referring site, device type, what was clicked, how far pages were scrolled and whether the quote form was started or sent. We honor the Global Privacy Control and Do Not Track signals by collecting nothing at all from those browsers.
To quote, make and deliver what you asked for, to answer your questions, to keep normal business records, and to understand how the website is used so we can improve it. We do not sell, rent or trade personal information, and we do not use your files or photos for anything other than your job unless you say we may.
Files you send stay yours. The CAD model we create from your part is described in the Terms. We keep files and models on record so reorders skip the design fee, and we delete them on request once a job is complete and paid. Physical parts are returned with the finished work unless you tell us to keep or discard them.
Figurines and likenesses. When we make a figurine from photos of a person, you confirm that you have that person's permission, and a parent or guardian's permission for anyone under 18. We do not publish a likeness without written consent.
Our email runs on Zoho Mail and the website form is delivered to us by our own server. Invoices and payments run through PayPal, whose privacy policy covers what you enter there. Shipping labels are bought from USPS, UPS or FedEx with your name and address. Google Analytics is described above. None of these providers may use your information for their own marketing on our behalf.
Quotes, invoices and job emails are kept as long as needed for tax and business records, generally seven years. Uploaded files and models are kept while a job is open and afterwards on record for reorders, unless you ask us to delete them. Our own analytics are deleted after about 13 months. Google Analytics follows Google's standard retention.
Ask us at [email protected] to show, correct or delete what we hold about you, or to delete your files and models. We answer within a reasonable time. Vekform is a small Georgia company that is not covered by the California Consumer Privacy Act or the European General Data Protection Regulation, but we honor the same kinds of requests from anyone.
We use reasonable technical and organizational safeguards, including encrypted connections and access limited to the people doing the work. No method of sending or storing data online is perfectly secure, so we cannot promise absolute security. If we change this policy we post the new version here with a new date.
